Privacy Policy
What we collect, why we collect it, who we share it with, and how you can ask us to change or remove it.
Last updated: 12 October 2026 · Governed by POPIA
The Wedding Web Co. ("we", "us", "our") takes the privacy of couples, guests and website visitors seriously. This policy explains how we handle personal information when you use theweddingwebco.co.za, when you enquire about or book a wedding website, and when you visit a wedding website we have built and host for a couple. It follows the Protection of Personal Information Act 4 of 2013 (POPIA).
1. Who we are and how to reach us
We are the responsible party for the personal information described in this policy.
- The Wedding Web Co. — wedding website design and build services, South Africa
- 80 Bond Street, Ferndale, Randburg, 2194
- Email: curtis@theweddingwebco.co.za (please put "Privacy" in the subject line)
- Phone / WhatsApp: +27 82 578 8130
- Information Officer: Curtis Geils
2. Information we collect
We only collect what we actually need to quote for, build and support your website.
Information you give us directly
- Your name, surname, email address and cell phone number when you send an enquiry, request a demo or a free sample, or book a free consultation.
- Your wedding date, venue and location, partner's name and the details you share in our questionnaire — these help us quote accurately and design your site.
- Your South African ID number and physical address, but only where these are needed to draw up a contract or an invoice for you.
- Content and images you supply for your website, plus your notes, messages and the history of our WhatsApp, phone and email conversations.
- Payment confirmations, proof of payment and signed contract or invoice documents.
Information we collect about wedding guests
Guests who respond to a wedding website we built may submit their name, contact details, attendance or regret status, plus-ones and children attending, ages, dietary requirements, accommodation or travel needs, and guestbook messages.
Information collected automatically
When you browse our website, cookies and similar tools record basic technical information: the pages you view, how you arrived at the site, your device, browser and screen size, and an approximate location derived from your IP address. See section 4 for how to switch this off.
Information from other sources
Publicly visible Google reviews of our business, and messages or comments you send us on Facebook or Instagram.
3. Why we use your information
We process personal information on one or more of these lawful grounds:
- Taking steps to enter into, and then performing, an agreement with you — quoting, contracting, building, launching and supporting your wedding website.
- Your consent, for example when you ask us to contact you on WhatsApp or subscribe to updates.
- Our legitimate interest in running and improving our business — answering enquiries, keeping our sites secure, measuring what people read, and showing real client work.
- Legal obligations, such as keeping tax and accounting records.
We use your information only for the purposes described here. We do not make automated decisions that have a legal effect on you, and we do not build profiles to sell about you.
4. Cookies, analytics and advertising
Our website uses a small number of tools to understand how the site performs and whether our advertising reaches couples:
- Google Analytics 4 — counts visits, pages read and where visitors came from.
- Google Tag Manager — loads and manages the measurement tags above.
- Meta Pixel (Facebook and Instagram) — measures our ads and shows our website to people who already showed interest in a wedding website.
These tools set cookies and receive usage information. We do not sell your personal information to advertisers. You can switch most of this off at any time by changing your browser's cookie settings, installing Google's Analytics opt-out browser add-on, or adjusting your ad preferences in your Facebook and Instagram settings. Disabling cookies will not stop you from using the website.
5. Who we share information with
We share personal information only with the service providers we need to deliver the service, and only as much as they need to do their job:
- Our hosting, database and storage provider, which runs the websites and holds uploads such as signature images and contract documents.
- Our email delivery provider, which sends confirmations, questionnaires and statements.
- Our payment gateway and banking partners, which process card and instant payments.
- Meta (WhatsApp) and Google, for messaging, reviews and measurement as described above.
- Accountants and professional advisers, where required.
We will also disclose information where we are legally required to do so, or to protect our rights, your safety or the safety of others. We never sell personal information.
6. Where information is stored
The systems we use may store and process information outside South Africa. Where that happens, we use established providers with appropriate technical and organisational safeguards, as contemplated by section 19 of POPIA.
7. How long we keep information
- Enquiries and quotations: while we are in contact with you, and for a reasonable period afterwards so we can honour any quote or discount we gave you.
- Contracts, invoices and payments: at least five years, as South African tax and accounting rules require.
- Guest RSVP information: for as long as the couple's website is live and hosted with us. It is removed when the couple asks us to take their site down, or when hosting ends.
- Content and images you supply: until you ask us to delete them.
When information is no longer needed and there is no legal reason to keep it, we delete or permanently anonymise it.
8. How we protect information
We apply reasonable safeguards proportionate to the sensitivity of the information: encrypted HTTPS connections throughout the site, password-protected admin access with restricted roles, private storage for signature images, contracts and invoices so they cannot be opened by the public, and access limited to the people who need it to do the work. No system is completely secure, so if a breach ever affects your information and we are required to report it, we will notify you and the Information Regulator.
9. Your rights
You may, at any time, ask us to:
- Confirm what personal information we hold about you and provide a copy of it.
- Correct or update information that is inaccurate, incomplete or out of date.
- Delete information you no longer want us to hold, or that we hold without a lawful reason.
- Stop contacting you for marketing purposes, including WhatsApp and email.
- Object to a particular way we are using your information.
Requests are free of charge. To protect your information, we may ask you to verify your identity before we respond, and we may need to keep certain records for legal or accounting reasons even after a deletion request. We aim to respond within 30 days. If you are unhappy with our answer, you may lodge a complaint with the Information Regulator of South Africa at inforegulator.org.za.
10. Wedding guests and children
We do not knowingly collect information directly from children. Wedding guest lists submitted by couples can include children's names, ages and dietary needs. In those cases the couple — not us — is responsible for telling their guests what information is collected and why, and for having permission to submit it.
11. Guest information on client wedding websites
We build and host wedding websites on a couple's instructions. For guest information on those sites, the couple is the responsible party and we act as their operator. If you are a guest, please read the notice on that wedding website and contact the couple first about corrections or deletions — you may also contact us and we will pass your request to the couple promptly.
12. Marketing and WhatsApp
We will only contact you for marketing where you asked us to, or where you are already our client and we are writing about a similar service. Every message can be declined — reply STOP, unsubscribe from an email, or ask us at curtis@theweddingwebco.co.za and we will remove you straight away.
13. Other websites
Our pages may link to other websites, such as venues, suppliers or social profiles. We are not responsible for their privacy practices, so please read their policies.
14. Changes to this policy
We may update this policy as our services or the law change. The version on this page is always the current one, and the date at the top shows when it last changed. We will email clients whose project is in progress if a change materially affects them.
15. Get in touch
Questions about this policy, or a request about your information, are welcome. Email curtis@theweddingwebco.co.za, WhatsApp +27 82 578 8130, or write to us at 80 Bond Street, Ferndale, Randburg, 2194. You can also read our Terms & Conditions.
